Winter (Eldorado) Booking & Cancellation Policies

Booking

To book a Winter Eldorado trip, you can either book online or via email (fun@tyaxadventures.com). It is recommended that all guests have a good knowledge of backcountry procedures – including but not limited to: Safety in the backcountry, Wilderness First Aid, Avalanche Safety Knowledge, Winter Preparedness, Ski Touring, etc. Prices on the website do not include GST.  

Waivers

Each guest will be required to sign a Release of Liability, Waiver of Claims, Assumption of Risks and Indemnity Agreement before the trip. To help with our preparation, we ask that guests sign their Waivers at least 30 days before the planned activity/trip. In no event will a guest be permitted to participate in a planned activity/trip without having signed a Waiver.

Please note that you will be asked to sign a Waiver Acknowledgement Form at check in for your trip.

Payments

A 25% deposit is required to secure a reservation, with the full balance due 60 days before the activity/tour date. Payments can be made online, or by credit card over the phone. 60 days pre-trip, your full balance will be processed from the card saved on your file. If payment is not processed 60 days before the activity, your trip may be released. 

Please note that when booking online via our booking system, there is a one-time booking fee to cover administrative fees. 

Itinerary/Flight Changes

Every attempt will be made to adhere to our scheduled itinerary, we do not plan to make changes ahead of time. However, participants acknowledge and willingly accept the possibility of unexpected changes to our route, timings and itinerary. Safety issues, weather and/or any extenuating circumstances beyond our control may contribute to this possibility.  

Should these changes affect your pre and/or post-tour travel plans, Tyax Adventures will not be responsible for additional expenses incurred by guests (non-refundable airline tickets, rental cars, hotel reservations, etc.). Again, we recommend you purchase your own trip insurance policy. 

Groups must be on location at the required helicopter staging area prior to the time of their flight departure. Should weather delays then make it impossible to fly in to Eldorado at the scheduled time, every attempt will be made to facilitate the helicopter flight later that day, or each subsequent day thereafter as weather permits. Groups will be refunded the nightly cost each day they are unable to fly into Eldorado. It is important to note that helicopter flights are non-refundable.

Helicopter rates are based on good weather rates and a 1.3 flight time. Should your flights incur additional flight time (due to weather or other circumstances), your group will be charged an additional amount post-trip based on actual flight time (standard B2 hourly rate of $2,985.00 + GST). 

High Season Package rates are a package price - pending availability, there is the option to add to the helicopter itinerary. Discounts will not be applied if less flight time is incurred.

Cancellations

Guest Cancellation

All tours/flights/reservations cancelled outside of 60 days from the first date of your trip will be refunded, less 3% of the total booking price to cover credit card & administrative fees.  

Payments made for any activity cancelled within 60 days of the activity date are non-refundable.  

Our guest cancellation policy is firm, and we recommend you purchase a trip interruption/cancellation insurance policy to avoid disappointment should you need to cancel your trip at the last minute, as you will not be reimbursed by Tyax Adventures.

Cancellations due to a 3rd Party/Unforeseen Circumstances  

Should your booking need to be cancelled due to extenuating circumstances beyond our control, including (but not limited to): border closures, government-initiated shutdowns due to a pandemic, etc. or is deemed by Tyax Adventures to be a safety issue. Tyax Adventures may offer you a 100% credit to reschedule for another date or give you the option of a full refund minus 3% to cover the cost of credit card and administration fees.  

Tyax Adventures Cancellation  

Tyax Adventures reserves the right to cancel or adjust a reservation at any time unforeseen circumstances.

Should Tyax Adventures need to cancel or reschedule your reservation we may offer you a 100% credit to reschedule for another date or give the option of a full refund.

Dovetail

Dovetail flights occur when 1 group flies into a location, and another group flies out from that location - effectively ‘splitting the flight’. Should a dovetail flight be completed in full, where a group flies into a location and a group flies out, both groups will be reimbursed for half of the full price of the flight AFTER the completed dovetail flight. Please note that we always take full payment up front for all bookings, and in the event that the planned dovetail flight does not happen, the group would still be responsible for paying for the cost of the whole flight.
