Reservations Coordinator

Job Description: Assists with the sales and reservations function for Tyax Adventures. Serves customers by providing information, developing trip itineraries and selling product; resolves product and service challenges; administers office tasks and revenue collections.

Job Purpose:  Reporting directly to the Sales and Reservations Manager to support with all tasks. To drive sales by assisting potential customers, including tour operators, with trip planning. To assist with the office administration and reservations function, including bookings, invoicing and collections, responding to customer phone and email inquiries, and other office duties as necessary.

Duties:

  • Acts as the main point of customer contact, answering email and telephone questions for all tour inquiries.
  • Attracts potential customers by answering product and service questions and suggesting information about other products and services.
  • Liaises directly with tour operators and other partners to ensure all relevant information is available and concerns are addressed. 
  • Maintains customer records by opening and updating account information.
  • Maintains financial accounts through timely invoicing, ensuring collection of payments, and processing customer adjustments as necessary.
  • Resolves product or service problems by: clarifying the customer’s complaint, determining the cause of the problem, selecting and explaining the best solution to solve the problem, expediting correction or adjustment, and following up to ensure resolution.
  • Assists with distribution of customer documents and promotional materials.
  • Contributes to team effort by accomplishing related results as needed.
  • Assists the Sales and Reservations Manager with any other tasks as needed.
  • Maintain clear lines of communication between clients and the rest of the team.
  • Keep the reservation and email systems organized. File documents and emails as necessary.

Skills/Qualifications:

Activity Coordinator

Job Description: Liaise with guests on arrival and ensure they are handed off to their guide, wrangler, pilot and that any questions are answered.  Coordinate all tours, guides, wranglers and pilots and ensure that any information or assistance that they need is provided. Follow tours and flights. Promote daily activities including flightseeing, guided hikes & mountain bike tours.  Assist with the renting of mountain bikes and maintaining the rental bike fleet.
Job Purpose:  To ensure guests enjoy a safe and memorable experience with Tyax Adventures.

Duties:

·        Provide pilots with daily schedule and maintain contact on any changes throughout the day

·        Ensure guests know where they need to be and when for their tour or flight

·        Promote daily activities by ensuring display material is set up and availability is updated

·        Maintain a daily Activity sign-up sheet for guests & update Google Calendar with confirmed booking

·        Guide half day hiking &/or biking tours as necessary and appropriate

·        Ensure that flights and guided tours are followed by a trained individual

·        Ensure guides have all necessary information to guide their trips, including client names & information, meeting times, any specific information

·        Contact clients to provide pre-trip information

·        Sales of daily tour and merchandise

·        Process payments and end of day sales reports

·        Assist with van shuttles as needed

·        Assist guests with mountain bike rentals, and ensure the fleet is in clean and good working order

·        Maintain a list of rental fleet problems & what has been resolved.

·        Liaise with kitchen and keep lunch count calendars up to date, any dietary requirements noted.

·        Resolve guest product or service problems

·        Maintain a clean tidy and welcoming area for guests and staff

·        Contribute to team effort by pitching in and assisting other departments when needed.

Qualifications:

·        Valid class 4 BC Driver’s License and asset

·        Basic first aid (an asset)

·        Excellent computer skills – Word, Excel, and the Google suite of products

·        Prior experience in a reservation and/or base coordination role

Food and Beverage Coordinator

Job Description: Assist with the food and beverage function. Receives food and supply orders and fills camp orders.
Job Purpose:  To assist with the food & beverage function as required, and ensure that food and supply orders are received and stored appropriately, and that all food required in camp is delivered in a timely and food-safe manner. Ensure staff kitchen is stocked and meals are prepared and cooked.

Duties:

·        Coordinate with food deliveries and put away food and supplies in food warehouse.

·        Liaise with camp hosts to fulfill food and supply orders.

·        Fulfill food and supply orders for backcountry camps, packing appropriately for transport in either plane or horse pack boxes.

·        Deliver food orders to float plane dock or ranch for transport to camps.

·        Clean and organize the food warehouse.

·        Assist in maintaining an accurate inventory in the food warehouse.

·        Manage the garbage and recycling.

·        Travel as required to pick up food, beverage and other supplies.

·        Prepare and cook staff meals

·        Prepare packed lunches for both guests and staff

·        Manage dietary and allergy requirements

·        Clean and organize cooking and food prep area

·        Ensure staff kitchen is stocked and clean

·        Undertake other duties as requested.

Qualifications:

·        Previous experience working with food, or in a warehouse

·        Valid driver’s license

·        Adequate physical strength to lift and move boxes and goods within Worksafe limits

·        Current Food Safe Level 1

Camp Host - Staff Base and Backcountry Camp

Job Description: Prepare either staff camp or backcountry camps for arriving guests, host guests, including cooking meals and cleaning up, and clean and close camps after guest departure.
Job Purpose:  To ensure guests are made welcome and kept safe and comfortable in our backcountry camps. To ensure the camp is kept secure and well-maintained.

At staff camp – to ensure staff are well fed, staff and guests’ lunches are prepared and camp is kept clean and stocked.

Duties:

·        Open and prepare camps for guests, including turning on water, propane, electricity and ensuring guests tents are ready for guests.

·        Welcome and orient guests on arrival

·        Prepare and serve guest and staff meals in accordance with Food Safe and Tyax Adventures standards

·        Clean up after guests, and ensure all food is appropriately stored

·        Assist the Food and Beverage Coordinator by maintaining an accurate inventory of all food and supplies in camp

·        Ensure camp waste is appropriately handled, and is maintained in a secure fashion to discourage rodents and bears

·        Clean and close camp after guest departure and prior to leaving camp.

Qualifications:

·        Previous experience cooking for groups of 10-20 in a remote camp setting

·        Foodsafe 1

·        Basic first aid (an asset)

·        Wilderness experience
